*Job Description:* The Office Manager will be responsible for administrative and office operations at the ICF branch office in Kinshasa, DRC to ensure the office runs efficiently. The office manager will provide accounting services, assist with procurement, maintain office records, supervise other office staff, and provide support to technical staff as needed.

Il(elle) sera responsable de l'administration et des operations du bureau et assurera son fonctionnent efficace . Le gestionnaire sera charge de la comptabilite, des approvisionnements et de la gestion des dossiers administratifs du bureau. Il (elle) supervisera le personnel de soutien administratif et apportera un appui au personnel technique selon les besoins.

Qualifications

*Key Responsibilities:* * Accounting: o Create and maintain up-to-date financial tracking system o Maintain proper documentation for all office and project expenditures o Liaise with vendors and other service providers and ensure invoices are verified and submitted on a timely basis o Create and submit monthly financial reports * Maintain office records o Manage filing systems and ensure protection and security of files and records o Maintain updated personnel files o Ensure that the inventory listing is up to date * Maintain office: o Design and implement office policies, standards and procedures o Supervise office support staff, ensure general cleanliness and maintenance of the offices o Coordinate courier and security services o Assist with procurement o Maintain office equipment o Maintain and replenish inventory o Answer phone * Support project activities: o Coordinate logistics for meetings and trainings o Organize transportation and other travel arrangements for project staff _Principales responsabilites_

  • Comptabilite : o Creer et assurer la mise a jour d un system de suivi des dossiers financiers o Assurer une documentation correcte s des depenses du bureau o Maintenir les contacts avec les fournisseurs et prestataires de services et assurer la verification des factures et leur soumission dans les delais prevus o Elaborer et transmettre les rapports financiers mensuels
  • Gestion des dossiers o Gerer les systemes de classement/ archivage et la securite des fichiers et dossiers o Tenir a jour le dossier du personnel o Tenir a jour l inventaire du materiel du bureau

  • Gestion du bureau o Concevoir et mettre en uvre les politiques, normes et procedures de bureau o Superviser le personnel de soutien administratif, assurer la proprete generale et l entretien des bureaux o Assurer et coordonner les taches du service courrier depart/arrivee ainsi que et le service de securite du bureau o Assister dans les operations d approvisionnement o Veiller a la maintenance des equipements du bureau o Maintenir et reconstituer les stocks o Repondre aux appels telephoniques

  • Assistance aux activites du projet o Assurer, coordonner la logistique lors des reunions et atelier de formations o Organiser le transport et autres dispositions concernant les voyages pour le personnel du projet

*Basic Qualifications:* * College-level degree in finance administration or similar field * Three years of professional experience providing accounting and office management services * Demonstrable understanding of accounting procedures * Proficient in MS Office (Word, Excel, and Outlook) * Ability to read and speak English _Qualifications de base_ * Diplome d etude Universitaire en Administration, Finances ou dans un domaine assimile * Trois ans d experience professionnelle dans le domaine de la comptabilite et la gestion de bureau * Comprehension averee des procedures comptables * Maitrise des logiciles MS Office (Word, Excel et Outlook) * Capacite a lire et parler l anglais
